MeetingPro is a software based business process. It facilitates the thorough preparation for a well- constructed and complete meeting invite. This invite in turn becomes the meeting minutes template, allowing for in-time scribing of the discussions, decisions and associated tasks per agenda item. An in-app notes section is included to assist each meeting delegate to make their own private notes against the appropriate agenda item as part of their upfront preparation. At the end of the meeting each delegate will be requested to approve the tasks they have been assigned, creating a printable governance document showcasing all the assigned tasks, the responsible person as well as the due date. This document can then be used to insert all the tasks into any desired project management software. All delegates will also be requested to approve the minutes of the meeting, as they all had oversight of the collation of the information for the full duration of the meeting. Once the meeting has been ended, an Acceptance Report, the Meeting Minutes and a Task Report will be immediately available. Further to this, all tasks associated to a delegate will automatically be sent to their task management page. The task management component includes all the auto-populated information from the meeting, allows for a chat function, as well as calculating and tracking the number of hours spent on the task. A further benefit of MeetingPro is using the task management process to give feedback on the progress and status of a task. This will be done by pinning the information on the task management page, assigning a status, calculating the hours worked, and once saved, this will automatically feed back into the Task Report. This feature will keep all the delegates up to date on the progress of all the tasks after the meeting, and could in time, reduce the number of feedback meetings used for this purpose.
